Privacy Policy
This page explains how RUJL uses cookies, analytics and AI processing on this website.
Cookies and analytics
Essential cookies support sign-in, security and core website functions. Optional analytics cookies are used to understand website traffic. Analytics cookies are off unless you opt in. You can change your choice at any time using Privacy settings in the website footer. The student portal also keeps the class code, the learner's AI choice and a random browser session id in the browser's session storage; they are cleared when the browser session ends.
Use of Artificial Intelligence and Automated Processing
We use Artificial Intelligence (AI) technologies on this website to help educators and learners generate educational content. AI-generated content is provided as assistance; it is not used by RUJL to make decisions about you that have legal or similarly significant effects.
- Data shared with AI: When you opt in and use an AI feature, the content you submit (such as prompts, chat messages and relevant educational task context) is processed by the AI service. RUJL does not intentionally include your browser IP address in AI prompts; AI providers may receive technical request metadata, including RUJL's server IP and request timing. Network and security information may also be processed by RUJL's hosting providers.
- Third-party processors: AI used by learners in the student portal is provided by OpenAI only. Teachers' own AI tools use the provider the teacher chooses on their AI access page, which may be OpenAI, Google or Anthropic. Data is handled under the chosen provider's own data processing and API business terms, which say whether API data is used to train its models; under OpenAI's API business terms, API data is not used to train its models.
- Your choice and rights: AI processing is optional. You can reject it or withdraw consent in Privacy settings; AI features will then be unavailable. You may object to processing, ask for human review, or express your view about AI outputs by contacting dpo@rujl.net.
- Learners and AI: Our data protection impact assessment explains, in plain English, what is sent to AI when learners use it, the risks, and the safety controls that protect them. Read the data protection impact assessment.
- Class grading: When a learner submits an answer, the AI also scores it from 0 to 9 against the lesson's rubric so their teacher can see how the class is doing and plan what to recap. RUJL keeps only the score, the class code, the learning objective, the time and an anonymous code that links answers from the same browser session to show progress. It never keeps the answer, the AI's reply or anything that identifies the learner. Scores are a guide for the teacher, can be wrong, and are not used to make decisions about learners. Scores are deleted with the class (lesson schedule) they belong to. The data protection impact assessment explains how scores are worked out and the risks.
- AI can make mistakes: AI replies, scores and suggestions can be wrong or incomplete. Everyone using AI in RUJL should check its responses carefully before relying on them.
- Age and permission: Learner AI is designed for learners aged 13 or over and must not be used by learners under 13. It is turned off for any scheme of learning whose target age group starts under 13 (7 - 11 and 11 - 14 yr old). Learners under 18 should only use AI with the permission of a parent or guardian; the school, or home-schooling parent, who turns AI on is responsible for arranging this in line with their own policies. AI replies can contain mistakes, so learners should check them with a teacher or parent.

During registration, you can separately choose whether to allow AI processing. Choosing AI also confirms that you have read and understood this Privacy Policy, including how AI is used. This choice is optional and is recorded with its version and date against your account. You can change or withdraw it at any time using Privacy settings.
